Find your preparation route
Select the document’s issuing country, not your nationality. The result is orientation, not a definitive requirement or acceptance decision.
Three separate checks
More stamps do not necessarily make a better application. Establish which document is requested and for which procedure first.
The correct document
Type, scope and issuer matter. An ordinary printout may not replace the official record required.
Authenticated origin
An apostille concerns the signature, signer’s capacity and seal/stamp. It does not certify the content or suitability for your application.
Accepted language
An apostille is not a translation, and translation is not a substitute for authentication.

Documents issued in Türkiye
For administrative documents, HCCH lists provincial/district authorities; judicial documents follow the competent judicial commission route. Confirm the local office for the particular issuer and signature, rather than treating every document alike.
Explain the use in Portugal. Confirm the requested criminal-record scope or civil-record format. Check names, dates and previous surnames before accepting the document.
The official e-Apostil system offers an electronic route for criminal/judicial records and specified civil records. Check current supported types and charges. A barcoded e-Devlet document alone is not an e-Apostille. Keep the original electronic file and verification details.

A multilingual Formül A/B label does not alone establish exemption from every formality. Verify the relevant instrument and receiving procedure. Do not apply the EU-only facilitation below to Turkish documents.
US documents: state and federal routes
For state/local records such as birth or marriage certificates, check the designated authority in the issuing jurisdiction, commonly the Secretary of State. Your current residence state may differ. Federal-court and consular records have separately designated authorities.
HCCH · United States authorities
FBI Identity History Summary: use the federal route. FBI guidance directs applicants to the U.S. Department of State for a required apostille. A state apostille is not a substitute for authenticating that federal record.
FBI · Identity History Summary FAQs
Private diplomas, notarised statements and copies may need different preliminary steps. Do not notarise everything automatically: authenticating a notarised copy and authenticating the underlying issuer’s signature are different. California and New York illustrate separate state requirements.

Is English always accepted without translation?
AIMA: its document guidance publishes an exception for English, French and Spanish. Do not extend it to every bank, university or registry procedure. Describe mixed-language documents and attachments to the receiving unit.
IRN: specified registry procedures can dispense with translation when the competent official understands the relevant English/French/Spanish language. Therefore English is not universally translation-free.
IRN explains authorised translation/certification routes, including Portuguese notaries, registry officials, lawyers/solicitadores and other listed entities. A suitable translator’s work can require certification. A private agency’s “certified” label alone does not establish the receiving authority’s required form.

Show the translator every page, apostille and attachment; confirm the agreed scope. Compare names, dates, record references and page matching. Machine translation can help personal understanding, but is not certified translation.
EU documents and other countries
EU Regulation 2016/1191 simplifies apostille/legalisation formalities for specified public documents moving between EU Member States. It does not cover every diploma or business paper. A multilingual standard form assists translation and is not a standalone record. It is not a rule for Turkish or US documents.
For other countries, check HCCH treaty status and applicability between the jurisdictions. A country’s presence in a list does not settle every document. Where the apostille route does not apply, follow the receiving authority’s stated consular legalisation route rather than building unnecessary duplicate chains.

Questions for each document type
| Document | Ask the recipient |
|---|---|
| Criminal record | Which country/scope? Issue date? Electronic/original format? |
| Birth / marriage | Full record or multilingual extract? Previous names and annotations? |
| Diploma / transcript | Recognition type? Original or certified copy? Institution requirements? |
| Power of attorney | Required powers, signature form and transaction-specific rules? |
| Bank / income / private letter | What certification is requested? Public or private document? |
This table helps prepare a requested document; it does not say you must submit it. Read your application’s own official list. Apostilling a diploma does not award academic recognition or professional practice permission.
A practical preparation sequence
- Find the receiving authority’s current list; record the exact procedure and stage.
- Identify the issuing country and office. If required, find the authority competent for that signature.
- Confirm whether an original, authorised copy or electronic file is required and how recent it must be.
- Confirm translation/certification requirements and treatment of attachments.
- Coordinate authentication and translation after checking the requirements; there is no universal notary→translation→apostille order.
- Keep submission records and a readable complete copy. Do not detach linked original pages or alter data.
Electronic originals, scans and e-Apostilles
A photograph or scan is not the same as an electronically signed original. A QR code alone does not mean apostille. Retain original format and verification details; do not edit and re-save a signed file.
AIMA separately addresses verification of electronically issued but non-apostilled documents. Do not interpret online issuance as universal readiness. Confirm whether the original electronic file, a paper version and a particular validation route are required.
Use the issuing authority’s official verification channel, not just an intermediary’s assurance. This page requires no document upload; selections run only in your browser.

Freshness, fees and timing
An apostille’s lack of a general expiry date does not make its underlying document permanently recent enough. A recipient may require a recent criminal record. A new apostille on an old record does not make the record new.
Spanish Ministry of Foreign Affairs · apostille scope
Record three dates separately: document issue, apostille issue and application submission. Ask which date matters; do not assume a universal three- or six-month rule.
Separate document issuance, official authentication, translation, certification, postage and intermediary fees. The total quote is not the official fee. Check current processing information and avoid planning an application around an unverified guaranteed turnaround.

Copyable Portuguese questions
These are not official forms. Replace placeholders for your document and procedure. This page sends nothing.
1. Requisitos do documento
For [procedure], I will submit [document] issued by [authority/country]. Please confirm required original/certified-copy/electronic format, apostille/legalisation, freshness and attachments.
2. Tradução e certificação
My document for [procedure] is in [language] with [apostille/attachments]. Is translation waived here? If required, which parts and what certification do you accept? Please confirm in writing.
3. Esclarecimento de insuficiência
Please specify the deficiency in the document submitted under [date/reference] and how to correct it—page, signature, translation or format. I wish to avoid repeating correctly completed acts.
Quick answers
- Nationality or issuing country? The issuing jurisdiction determines the apostille authority. A Turkish citizen’s US document follows the relevant US route.
- Can Portugal apostille my Turkish/US original? The original foreign signature follows its issuing jurisdiction’s competent route. A Portuguese notarial act does not automatically replace that original authentication.
- Does an apostille approve my visa/residence? No. Document formalities and the merits of an application are separate.
- Must every bank letter or passport copy be apostilled? There is no universal answer; obtain the recipient’s exact document and certification requirements.
- What if something is rejected? Ask which page, signature, language or document type is deficient, preferably in writing, before paying to remake everything.
