Three stages: verify, pay, record
A polished listing, a key photograph or a copy of an identity document does not prove legitimacy. This is a practical preparation tool for long-term residential rentals. It neither labels anyone a criminal nor certifies a transaction as safe.
Before paying, establish a consistent link between the property, the authority to let it and the payment recipient. At handover, record its starting condition. For deposit, term and termination clauses, use the separate contract guide.
Warning signs: pause and investigate
- A price far below comparable properties combined with pressure to pay immediately.
- No viewing; “I am abroad, pay first and I will send the keys.”
- Links that move you off the listing platform into an imitation payment page.
- Payment to an unexplained third party or an account unrelated to the contracting party.
- A last-minute IBAN change that cannot be independently confirmed.
- Requests for cryptocurrency, gift cards or unrecorded cash; refusal to provide payment documentation.
One sign is not proof of a crime. Several signs call for more verification, rather than a faster payment. Do not send money before completing the checks.
Verify the listing, property and authority to let
1. See the actual property
Match the address and apartment to the contract. An in-person viewing is a strong practical check; if you cannot attend, use a trusted representative. Live video, reverse-image search and maps can help but do not establish ownership or authority by themselves.
2. Match identity and authority
Is the person an owner, an authorised representative or someone subletting? Ask how their authority is documented. The IRN property register service provides registration information; check official access-code and service conditions. A tax record (caderneta predial) and a property register certificate are different documents. A name in the register does not by itself prove a representative’s authority or the safety of the whole transaction.
3. Independently check the agency
Compare the company name and AMI licence number in the IMPIC lookup. Independently find the agency’s official contact and confirm that the agent and listing belong to it. A valid licence does not authenticate an individual listing. A private owner letting their own property should not be treated as an estate agency.
Before sending a reservation payment or rent
If your bank offers recipient-name verification, read its warnings; a match does not prove the listing is genuine. Identify the property and payment purpose in the transfer reference. Do not assume a transfer can be reversed. Open a platform using its own address instead of following a payment link in a message.
Protect identity and bank information
Ask why a document is needed, who will receive it and how it should be sent. Share only necessary information; consider a purpose-and-date watermark on a copy where appropriate without invalidating its intended use. Someone else’s ID copy may itself have been stolen.
Never share banking passwords, one-time codes or card security codes. Do not allow remote-access software to be installed to arrange a viewing or a deposit refund. Do not send identity or bank documents to public comments or Piti.
12 checks at key handover
A meter reading does not automatically transfer the utility account into your name. Confirm the start date and requirements with the supplier; do not assume you must take over previous debt. Do not dismantle electrical or gas equipment. If there is a gas smell or serious danger, prioritise safety and the appropriate emergency service over this checklist. ERSE: electricity meter readings.

Number photographs and link each to the relevant defect. Prefer a dated record reviewed and acknowledged together. If a statement that everything is perfect conflicts with your observations, request a correction before signing. A signature or email acknowledgement does not guarantee the outcome of a dispute.
Problems noticed after moving in
Check again in daylight and during normal use. Report newly noticed problems in writing with dated photographs, location and impact, referencing the handover record. This does not establish a universal legal notice period: consult the contract and obtain qualified advice on applicable rules.
For deposit discussions, keep both move-in and move-out records. Ask for reasons and evidence for proposed deductions. Do not infer that you can stop paying rent, treat the deposit as final rent or terminate the contract on your own.
If you have made a suspicious payment
- Stop further payments and document sharing with the suspicious contact.
- Contact your bank immediately through an independently obtained official channel. Explain the transaction and timing and ask about recall or blocking options. Recovery is not guaranteed.
- Secure the listing URL, screenshots, messages, contract, payment record and IBAN.
- Report the listing to the platform without losing your evidence.
- Check official routes for reporting to police or the competent judicial authority. Online reporting can require specific authentication; do not assume it is available to everyone.
Banco de Portugal advises immediate contact with the institution when fraud is suspected. Justiça’s complaint guide explains reporting routes. A tenancy dispute and suspected crime are different; a consumer complaint about an agency does not replace a criminal complaint. Beware of anyone demanding another fee while promising guaranteed recovery.
